Start with the correct brand

Identify which support address received the enquiry. The response should use the corresponding identity, knowledge, signature and links—not an unrelated company’s product or policy.

Limit access to live data

The Helpdesk brief proposes a scoped Support Data API rather than unrestricted database access. Only approved fields should enter the support workflow, and private customer information requires a verified context.

Use confidence as one control

Confidence alone is not permission to send. Eligible intent, policy, data availability and sensitivity also matter. Some answers should remain drafts or be escalated to staff.

Approve the learning

Useful answers can become reusable knowledge after review. Rejected or heavily edited responses should not silently become authoritative guidance.

Measure resolution quality

Review ownership, response and resolution targets, reopened tickets and customer feedback where available. The objective is stronger support, not simply a higher automated-reply count.
